Medianet Integration Option

Components of the Schedule3W/Medianet integration include:

  • Setup and maintenance of operators

Medianet automatically loads Schedule3W's staff list with the names of operators (i.e. people that can do setup, showings and/or teardowns).

  • Setup levels (i.e. Operator workload) warnings

The number of possible setups per 15 minute period by time of day and by day of week may be entered. Different sets of levels may be entered (e.g. fall term, spring term, holidays, etc). Medianet's Order Entry module warns if an order exceeds that level. The staff person entering the order then decides whether to accept the new order or warn the faculty member that there might be a delay in delivery.

  • Assignment of operators

Schedule3W and Medianet are integrated to provide a seamless interface for assigning specific operators to specific setups, showings and/or teardowns. This ensures your Medianet work orders and showing schedules include the operator name. It even allows work orders to be e-mailed directly to each operator. In overview the process is:

    • Invoking Schedule3W's Import option causes Medianet to take each order and, based on the to/from delivery method, expand the order into one or more activities. The activities are:
      • setup (one or two staff)
      • showing (one or two staff)
      • teardown (one or two staff)

    • The number of activities are optimized (i.e. if an order is marked as needing a person for setup, showing and teardown, then only one activity for the full period is generated).

    • These activities are automatically loaded into your Schedule3W.
      • The top of the screen shows which operators are working at which times that day
      • The bottom of the screen lists all the imported activities
      • The activities are easily sorted by time, building, etc by clicking the applicable column header

    • To assign an Operator to do a specific activity, just right-click on the activity and a list of operators working over that time are presented. Another click will assign the desired operator.

    • Schedule3W's focus is to assist the manager assigning specific operators, rather than attempting to automatically assign an operator, due to the complexity of your business rules:
      • Many setups are simple so, unlike a piece of equipment, a single operator can be assigned to do multiple activities at one time
      • Distances and ease of access between buildings or even between classrooms within buildings vary greatly
      • Skill levels required depend on the equipment being used
      • Even the personal preferences of faculty for certain operators or operators for not certain faculty impact the choice of operators

    • Schedule3W graphically adds this activity over that time span beside the selected operator so you see at a glance how the activities for that day are distributed across staff.

    • Once you have assigned specific operators to their activities, then the Schedule3W's export option posts the assignments back to your Medianet server to set the operator fields in the Medianet database. Your custom work orders, master showing lists and work assignment reports are automatically generated and printed. These all include the name of the operators.
