Summary of New Features by Release


Schedule3W is continually being enhanced. Between each of the version numbers below are multiple incremental releases (e.g. 4.2.##) leading to the next minor or major version increment. Users often see the results of their suggestions within days or weeks. The subscription approach enables us to release improvements as soon as they pass quality assurance (i.e. no need to hold back improvements until they can be released in a group "worth buying").

Improvements since V4.2

  • (4.2.02) The blue caption/header of scheduling screens now uses Loc: and/or Emp: labels to highlight any active Location/Employee select and shows the name of any Location Group.

  • (4.2.02) Employee first name is now optional to simplify setting up a pseudo employee (e.g. Attn in which to record day level notes).

  • (4.2.02) New Advanced>Delete All Shifts for a location option in Edit>Location simplifies switching to Two-Level Scheduling. Generally Libraries find Two-Level Scheduling is an excellent choice.

  • (4.2.02) For sites that do command line installs and then freeze the PC, there is now an auto registration step as per: http://schedule3w.com/Tips/Install_Silent.htm.

  • (4.2.02) The Wall Calendar Month report formats now support sites with Start of Week set to other than Sunday.

  • (4.2.02) Reports now generate a single summary warning if any cells had to be truncated due to the 254 character per cell limit in the Crystal Reports interface.

  • (4.2.01) The Recurring Screen option to then Clone for SP shift now also is offered when invoked from the Employee by Week Screen.

  • (4.2.01) The Where working - Time Period reports now once again support multiple Service Points within a time period.

V4.2 June 2010

  • (4.1.15) Shift Notes on recurring shifts may now be changed directly on the Recurring Screen. If any future shifts have different notes than the shift changed, you are now asked whether they also should be updated (and given the option to copy to clipboard for manual tailoring later). The Notes Change option in Shift Information also uses this new approach.

  • (4.1.15) Totally new Schedule3W installations, to the C: drive, now default to placing the data files on C:\S3WData\ to simplify any future move to a networked drive.

  • (4.1.14) New Wall Calendar Month report formats: Who's working: Month by Location and Where working: Month by Employee.

  • (4.1.14) New Help>Latest Version Info menu will open this page so you can easily see the latest features (subscriptions include free upgrades!).

  • (4.1.14) Issue with clicking on calendar in Tools>Holidays and Staffing Levels, caused by mouse configuration, has been resolved.

  • (4.1.13) Employee/Location Scheduling Grids now support displaying a full month on the screen. To activate, click [Options] and change # of Days to Show to Auto Max and # of Days in Grid to Month.

  • (4.1.13) The automatic saving of the previous location and/or employee of a shift (i.e. was values in Shift Information) has been restored.

  • (4.1.13) New Display Only access! Edit>Staff's Schedule3W Rights now offers Display only and Display only + Reports choices.

  • (4.1.12) All Reports and Favorite Reports now support a footnote. Great for customizing!

  • (4.1.12) Where/Who's working: * x 31 days reports now consistently show time on a second line providing cleaner layout.

  • (4.1.12) If you need to enter time earned for Holidays, see new overview using Help>Index enter Holiday and click Paid time entry.

  • (4.1.12) Edit>Location will now correctly save the location name when creating a new Working not assignable to Service Points location.

  • (4.1.11) Where working: Employee x Week report now has an option to Show Actual-Std hrs, rather than Actual hrs, in the Hours column.

  • (4.1.11) File>Print>Screen for Employee by Week screen now automatically shows the employee name on shifts of at least 4 hours.

  • (4.1.11) The colors used in Dates and Times column/row labels are now explicitly set to eliminate issues due to non standard Window's color theme choices.

  • (4.1.10) New Employee Groups feature! Now your Quick Screen Switch and Favorite Report definitions may designate an Employee Group. Use Edit>Employee Groups to create/modify groups. As well as selecting specific employees, Groups may be based on Home Locations and/or Employee Types so your groups can be self maintaining.

  • (4.1.10) Tools>Reports improvements:

    • Min # Working reports, in Difference mode, now show only the days with a difference and run 90% faster! The Difference mode setting is now saved in favorites.
    • Location/Employee Groups may now also be used with Schedule by/Summary per reports.
    • Summary per Employee
    • report will now report on service point hours when a Location Select is entered plus the #Days column has been corrected.
  • (4.1.10) Tools>Staffing Levels improvements:

    • You are now automatically prompted for the location desired (saves invoking Select>Location).
    • Maximum # of templates has been expanded to 10 per location.
    • Screen design has been tweaked (e.g. Select>Location menu has been replaced with a [Location] button to save a click).
  • (4.1.10) See new overview on setting up Meetings using Schedule3W via Help>Index and enter Meeting setup.

  • (4.1.10) Edit>Location now enforces that Override Sort, if entered, is unique. Removing duplicate values ensures Schedule by/Summary per reports don't combine locations.

  • (4.1.10) Location Scheduling Grid's avail want/willing and unavailable row cells now support a right-click menu.

  • (4.1.10) Right-click on a shift, selecting Location/Employee by Week, now uses the shift's date, rather than the start date of the screen, to determine the week to open.

  • (4.1.09) Web Server now stays up even if the disk serving the database is no longer available. It displays a page telling user to try again later and to report the problem if it persists.

  • (4.1.09) Web Server's Date/Loc display now sorts multiple months correctly.

  • (4.1.08) The number of Favorite reports a scheduler may designate as My Favorite Reports has been increased from 15 to 35.

  • (4.1.08) Quick Screen Switch menu now lists the definitions associated with buttons last so the most likely used definitions are first.

  • (4.1.08) Corrected issue causing Notes to be deleted when This Day Only shifts are changed.

  • (4.1.07) New Quick Screen Switch feature gives one or two click access to all your favorite scheduling screen setups. The QSS icon at the top right of all scheduling screens provides menu access to all Quick Screen Switch definitions and 4 buttons provide one click access to your personal favorites. Use Edit>Quick Screen Switch to create QSSs such as:

    • Switch to Location x Day screen for tomorrow for all locations and all employees.
    • Switch to Location x Day screen for current date with all locations selected, keeping any Employee filter
    • Switch to Location x Week screen for all employees for next work week and be queried as to the Location(s) to load.
    • Switch to today and leave all other settings alone.
    Not only does this take less clicks, it is even faster as settings are changed all at once followed by a single screen refresh.
  • (4.1.07) Switching from Location by Day now opens the new screen at the start of that work week (or today) rather than starting at the displayed date.

  • (4.1.07) Select>Location now includes an All Locations choice.

  • (4.1.07) Where working- Employee x Week portrait format now provides time totals to two decimal places (as already done in landscape).

  • (4.1.07) A retry option is now shown if an update encounters a locked shift.

  • (4.1.06) New Month Rollover now processes every nth week Unavailable shifts before on-going shifts.

  • (4.1.05) Any error generated by changing a shift now displays expanded information.

  • (4.1.04) The algorithm used for locking an employee when adding shifts is now also used when shift changes are made.

  • (4.1.04) Eliminated a case where a shift could be left marked as on-going when it encountered an existing future on-going shift with the same frequency.

  • (4.1.03) A retry option is now shown if an addition encounters a locked shift.

  • (4.1.02) New Fast Date Change drop down menu beside the date button at top of all scheduling screens gives immediate access to popular dates like 1st of this week, today, 1st of next week, 1st of next month, etc.

  • (4.1.02) Location by Day screen's Home Location, Name (not working sorted last) sort is now remembered between sessions (as are the other sort settings).

  • (4.1.02) Employee Scheduling Grid's employee sort is now remembered across sessions.

  • (4.1.02) Employee/Location Scheduling Grids' header information, to the right of date button, (e.g. week # and rotation, Close buttons) is now supported on monitors still using 800 x 600 resolution.

  • (4.1.02) Message reporting that "another scheduler is currently updating an employee" now uses a custom format rather than the error message format.

  • (4.1.01) When adding new shifts the Recurring Screen now includes up to 4 user defined Quick Fill buttons. With one click you can now tick Ongoing, select Every 4th week and even press [OK]. Three buttons are automatically provided. Use Edit>Recurring Quick Fill to add or change Quick Fill definitions and to designate which are invoked by your four buttons.

  • (4.1.01) Delete and, when changing, Recurring screens now include two one click buttons to pick This day only or All and automatically press [OK].

  • (4.1.01) The Employee sort selected in Location by Day screen no longer changes the sort of various Employee lists.

V4.1 January 2010

  • (4.0.16) The header of scheduling screens now display:

    • The week number relative to the current week
    • The Rotation week if activated in Tools>Options>Staff Hours Tab
  • (4.0.16) When Location or Employee by Week views include both today and earlier dates, the screen now remains white and the date box goes pink to highlight when a shift on a past date is being adjusted.

  • (4.0.16) The database optimization/compact that occurs when a database structure error is encountered is now preceded by a message box that lists any other users in the database.

  • (4.0.15) The database optimization/compact that occurs when the database's size significantly increases now has an introduction screen with a defer option.

  • (4.0.15) Eliminated New month open/rollover Error 91 that occurred in databases with no recurring shifts with an explicit end date.

  • (4.0.14) Now easier and faster to enter shifts like work 3 Fridays and on the 4th week a Saturday or reference desk 2-3pm every Monday except a meeting the 2nd Monday of every month as:

    • New shifts (and increasing Until date) now present any conflicts in a single Shift Conflict Screen.
    • The new Shift Conflict screen supports additional options of first deleting the conflicting shifts or simply cancelling.
    • The Fast Entry/Clone screen now allows user to continue even though there is a conflict on the starting date.

  • (4.0.14) Edit>Report Time Periods may now be updated by those with Scheduler rights (as well as DB Administrators).

  • (4.0.13) Users logged into the server hosting Schedule3W's Web Services, without write permission to the registry, no longer receive a 26001 warning message when opening Schedule3W.

  • (4.0.12) Schedule3W now supports a silent command line install for upgrades. Sites may use this with a Group Policy to automate rollout of updates! See the download instruction page for more information.

  • (4.0.12) Delete confirmation prompt in Edit>Location now includes counts of past and future shifts.

  • (4.0.12) Employee Quickview now shows Working shifts below Service Point shifts.

  • (4.0.11) The messages generated by Monthly Rollover have been further tailored for display in a spreadsheet.

  • (4.0.10) Monthly Rollover improvements:

    • Conflicts, if any, now are reported at the end in a spreadsheet.
    • Conflicts, if due to a less frequent shift (e.g. existing 2nd Monday of month shift), are now silently skipped, and, otherwise, are automatically cancelled.
  • (4.0.10) Scheduling an employee marked as not qualified to work in the first location in the filter no longer generates an error 91.

  • (4.0.10) Changes to Lunch Rule durations now are immediately implemented.

  • (4.0.09) The Shift Information screen's option to change Until date now handles cancelling due to conflicts.

  • (4.0.08) The Conflict screen of New Month Rollover no longer generates Error 5 if [Cancel] is clicked.

  • (4.0.07) Change Location of an assignable location shift to a location that doesn't allow service points (e.g. vacation) now correctly handles This day only setting when deleting any overlapping service points.

  • (4.0.07) Location/Employee Scheduling Grids now also defer refreshing the background bar screen for changes to Employee or Location filters until the grid is closed.

  • (4.0.05) Web View's Now option now uses current minute value for listing currently active shifts.

  • (4.0.05) Standard error message box now includes a Copy to clipboard button to make it easy to forward an error.

  • (4.0.05) The Employee/Location Scheduling Grids' Shift List screen now includes shifts that start at midnight.

  • (4.0.05) Corrected issue introduced in v4.0.03 of Change Location for a Direct Assign employee sometimes generating Error 91.

    • Change Location/Employee options are now 40% to 80% faster.
    • Delete, dragging a shift or dragging the ends of a shift are now 30% to 90% faster.

  • (3.8.17) Restored Service Point shift scheduling on PCs with regionalization set to English(Australia).

  • (3.8.17) Setting a day as a holiday now also removes all This day only shifts (in addition to recurring shifts on that day).

  • (3.8.16) Where/Who's working reports now display 15% (on small databases) to 70% (on larger databases) faster.

  • (3.8.14) Available Staff Screen now displays 50% (on small databases) to 95% (on larger databases) faster.

  • (3.8.14) Web View now includes your Location Groups as choices in the location select list.

  • (3.8.12) The iCalendar feature of Web Services now exports working assignable to service points shifts flagged to import into Outlook as free time so Outlook's schedule meeting option can be used. There is now a link to a tips page detailing how to create a Generate iCalendar shortcut and how to easily import into Outlook a 2nd time.

  • (3.8.12) Multiple named Time Period Set definitions are now supported. The designated time period set is now saved with Favorite Report definitions. Great for organizations with different time period needs by location or day of week!

  • (3.8.11) Creating and modifying shifts (i.e. time between clicking OK and screen refresh) is now faster by 25% (on smaller databases) to 50% (on larger databases)!.

  • (3.8.11) Employee and Location Scheduling Grids now support the mouse scroll wheel.

  • (3.8.11) Your Schedule3W database's structure is now automatically optimized whenever the database has grown by both 25% and 2mb and at least 3 days have gone by since last optmization (rather than just monthly).

  • (3.8.11) Schedule3W now automatically repairs databases that report a -2147467259 Unrecognized database format error.

  • (3.8.04) Location by day screen now allows you to control whether unscheduled staff appear via a right-click Show Unscheduled Staff menu. Choices are Never, When viewing All Locations(the old automatic choice) and Whose Home Dept is a Selected Location (new default).

  • (3.8.04) DB View: Shifts report now uses 24hr time format to simplify sorting in Excel and its Save CSV option now includes column headers and asks whether the generated CSV should be immediately opened or e-mailed.

  • (3.8.04) Favorite reports may now be deleted or renamed by the creator in addition to users with DBAdmin rights.

  • (3.8.04) Favorite reports saved with a custom date range starting with today no longer generate error 13.

  • (3.8.04) Favorite reports now support saving selects containing only a single location and/or employee (in addition to multiple).

  • (3.8.02) The Database View: Shifts and Headers reports now have a Save to csv option. Great for exporting shifts to Excel!

  • (3.8.01) New favorite reports makes running a regular report as easy as: click the favorite and click [Show]! Features include:

    • Full configurations are saved (e.g. all options, dynamic date periods such as next week, employee/location selects, etc)! A future release will support multiple row and column Time Period definitions.
    • New My Favorites area so all schedulers can track which favorites they use.
    • New Edit>Favorite Report screen to manage favorites including seeing who created, when and who last changed, renaming and optionally adding instructions to each favorite (e.g. when to run, where to save as a PDF, etc.).
    • Starting set of nine Favorites to use and/or change as desired.
  • (3.8.01) New installations will benefit from an improved Setup Wizard which includes the option to automatically create an expanded set of predefined locations for libraries.

  • (3.8.01) Faster date change button refresh when switching from Location by Day to Location by Week.

  • (3.8.01) The Tools>Holiday Definition screen now has clarified text and an expanded change confirmation prompt.

  • (3.8.01) The Tools>Staffing Level screen now allows templates to be renamed via right-click Rename (as well as via clicking) and assigns a different default color for each additional template.

  • (3.8.01) The Tools>Maintenance screen's Test tab now includes a Test Internet connection option.

  • (3.8.01) The open a new month rollover screen no longer has a screen close option as processing continues to completion.

  • (3.8.01) If the day being viewed/scheduled is a holiday, the date at the top of the screen is now yellow (the grids have a yellow column header).

  • (3.8.01) The text in the standard error screen may now be copied with a mouse as easier to forward than copying a screen image.

V3.8 January 2009

Highlights of the many features added:
  • (3.7.20) One less click on all recurring screens! The Until and On-going options have been moved up to replace the Recurring option.

  • (3.7.14) Available Staff popup screen is now subsorted within Assignment Group Priority by an availability score (e.g. people flagged as want to work will list first within that priority).

  • (3.7.12) Direct assign employees (i.e. all employees in a one level database) now, like Schedule then assign employees, have a separate subtotal of time spent at locations with a subtype Service Point (on desk). Great for instantly seeing employee's time in a group of locations.

  • (3.7.11) Where working- Employee x Time Period and Who's working- Location x Time Period reports now provide a []Page per day.

  • (3.7.10) Employee Quick View screen now, in addition to showing an employee's schedule for a week, also provides for each location: hours, shifts and days worked for the week being viewed, for that month and for the prior month.

  • (3.7.09) The Available Staff popup, when scheduling a service point in a two level database, now shows each employee's current working location. This simplifies picking from people working that area without having to invoke a filter.

  • (3.7.09) The Employee/Location Relationship screen's global update option has expanded tips.

  • (3.7.08) The Available Staff popup now provides how many hours each employee has been scheduled to work this week at the service point being scheduled (in addition to on desk hours this week). This helps fairly assign a high stress location!

  • (3.7.07) Employees now may load their schedules into most calendar programs (including Outlook) using Web View's new ICalendar feature. The employee displays his/her schedule, clicks the ICal icon and follows the simple instructions.

  • (3.7.03) Now you can schedule staff to work and assign them to a service point in one step! On the Recurring Screen simply tick the new Then Clone for an SP shift option.

V3.7 June 2008

Highlights of the many features added:
  • (3.6.23) You may now define Location Groups. Great time saver!

  • (3.6.18) The end on date for recurring shifts is now changeable in Shift Information.

  • (3.6.18) The Scheduling Grids, selection by Home Location and Emp/Loc screen are all faster!

  • (3.6.18) The right-click on a shift menu now includes the option to switch to Location by Day or Week for the shift's location and to Employee by Week. Great for drilling down!

  • (3.6.18) The Who's/Where working by week/14 days reports now support an option to suppress the date in the column header (i.e. only show day of week). This is used by sites (e.g. universities) that publish a standard schedule for a term.

  • (3.6.17) Web View now may be flagged to be automatically started using Window's Services.

  • (3.6.15) Edit>Staff now supports defining multiple Lunch Rules to automatically deduct lunch from shift duration (e.g. automatically deduct 30 minutes from shifts 4 to 6 hours long and 40 minutes from shifts 6 hours or longer).

  • (3.6.10) If you didn't initially setup Employee/Location relationships (e.g. Jane can't work at Reference), it is now much quicker to do so using new global set feature in the Emp/Loc screen.

  • (3.6.5) Service Points are now differentiated as on desk or off desk so reports and displays now show on desk, rather than at service point totals.

  • (3.6.5) Web View now includes a link for adding the current web display to your Bookmarks or saving as a shortcut.

  • (3.6.5) The prior location and prior employee of any shift are now automatically maintained in explicit database fields (rather than as was comments in notes).

  • (3.6.5) When changing a shift, notes may now be directly changed on the Recurring screen for any This day only shifts.

  • (3.6.5) Tools>Reports now displays a Printer Options screen (e.g. to switch printers or turn on color setting).

Highlights of the many features added:
  • (3.5.68) Edit>Location now restricts new, edit and delete options to users with Schedule3W Rights set to DBAdministrator.

  • (3.5.65) Summary per employee per location and Summary per location per employee reports now have a number of days column in addition to number of hours.

  • (3.5.64) New Delete over Range of days added, with option to include all locations. Simplifies adding vacations!

  • (3.5.64) New Until option for all change shift options.

  • (3.5.62) Employee/Location Scheduling Grids now use the same filters active in Location by week/day screens.

  • (3.5.28) In Location Scheduling Grid define your own Who's available rows (e.g. whose available 1-5pm) by clicking Option and the label Avail/Open.
